What Data We Collect and Why
Comments When visitors leave comments on our website, we collect the data shown in the comments form — including name, email address, and comment content — along with the visitor’s IP address and browser user agent string to help with spam detection.
An anonymised string created from your email address — also called a hash — may be provided to the Gravatar service to check whether you are using it. The Gravatar service privacy policy is available at automattic.com/privacy. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Awards Entries and Enquiries When you submit an awards entry, request an Entry Kit, or make an enquiry through our website, we collect the personal and organisational information you provide — including your name, email address, job title, organisation name, and any supporting materials submitted as part of your entry. This information is used solely for the purpose of administering your entry, communicating with you about the awards process, and managing judging and event operations. We do not sell or rent your data to any third parties.
Media and Uploads If you upload images or files to our website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images published on the website.
Cookies
If you leave a comment on our site you may opt in to saving your name, email address, and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we will set up several cookies to save your login information and your screen display choices. Login cookies last for two days and screen options cookies last for one year. If you select “Remember Me” your login will persist for two weeks. If you log out of your account the login cookies will be removed.
If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after one day.
We also use cookies to analyse website traffic and improve your browsing experience. You can control cookie preferences through your browser settings at any time.
Embedded Content From Other Websites
Pages on this site may include embedded content — such as videos, images, and articles. Embedded content from other websites behaves in exactly the same way as if the visitor had visited those websites directly.
These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content — including tracking your interaction if you have an account and are logged in to that website.
Who We Share Your Data With
BOC Global Events and Training Group does not sell or rent your personal data to any third parties.
We may share limited information only with:
- Judges and event partners — for the purpose of reviewing awards entries, under strict confidentiality agreements
- Service providers — such as payment processors, email platforms, and event management software — who help us deliver our services, under strict confidentiality agreements and in full compliance with UK GDPR regulations
- Legal and regulatory authorities — where we are required to do so by law
If you request a password reset, your IP address will be included in the reset email.
How Long We Retain Your Data
If you leave a comment, the comment and its metadata are retained indefinitely. This allows us to recognise and approve any follow-up comments automatically rather than holding them in a moderation queue.
For users who register on our website, we store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time — except they cannot change their username. Website administrators can also see and edit that information.
Awards entry data is retained for as long as necessary to complete the awards process and event administration, comply with legal and financial obligations, and maintain accurate historical records of past winners. You may request deletion of your data at any time after the relevant awards cycle has concluded.
What Rights You Have Over Your Data
Under UK data protection law, you have the right to:
- Access and receive a copy of the personal data we hold about you
- Request corrections to any inaccurate information
- Withdraw consent or request deletion of your personal data
- Object to certain types of processing
- Request that we restrict processing of your data in certain circumstances
- Lodge a complaint with the Information Commissioner’s Office (ICO) at ico.org.uk
If you have an account on this site or have left comments, you can request to receive an exported file of the personal data we hold about you — including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
To exercise any of these rights, please contact us at: 📧 info@brillawards.com
